Who we are

York Contractors Ltd is the controller of the personal information described here. That means we decide how it is used and we are responsible for looking after it under UK data protection law, including the UK GDPR and the Data Protection Act 2018.

What we collect

We only collect what we need to answer your enquiry and do the work.

• When you send an enquiry through our contact form: your name, email address, phone number, address and postcode, the measurements and message you give us, and any photos you upload. Photos may show your property and anything else in the picture.
• When you phone us: your phone number and the details you give us about the job.
• When you become a customer: the details of the job, the address where we work, and the quotes, invoices and payment records that go with it.
• When you use this website: information about your visit collected by cookies, such as the pages you view and the type of device you use. See the cookies section below.

How we use it

• To reply to your enquiry and prepare a quote. We do this because you have asked us to, before any contract is agreed.
• To arrange, carry out and invoice the work. This is necessary to perform our contract with you.
• To keep the financial records the law requires of a limited company.
• To understand how the website is used so we can improve it. This is in our legitimate interests, and the statistics do not identify you by name.

We will not add you to a mailing list or send you marketing without asking you first, and we never sell your information.

Who we share it with

Your details are seen by the people at Fencing York who deal with your enquiry or job. We also use a small number of service providers who handle information on our behalf and only as we instruct them:

• the platform that hosts this website and processes contact form submissions;
• the email service that delivers form submissions to us;
• our accountant, for invoices and financial records;
• Google, which provides the analytics described in the cookies section.

We will also share information if the law requires us to, for example with HM Revenue & Customs.

Transfers outside the UK

Some of these providers may store or process information outside the UK. Where they do, the transfer is covered by a recognised safeguard, such as UK adequacy regulations or the UK International Data Transfer Addendum.

How long we keep it

• Enquiries that do not go ahead: kept only as long as it is reasonable to follow up the quote, and then deleted.
• Customer records: quotes, invoices and job records are kept for six years after the end of the financial year they relate to, because company tax rules require it.

Cookies

Cookies are small files a website stores in your browser. This website sets them when a page loads:

• Google Analytics(cookies named _ga and _ga_ followed by an ID) counts visits and shows which pages are used, so we can see what is useful.
• Website platform cookies(such as _sp_id , _sp_ses and cookies beginning dm_ ) keep the site working and record basic visit statistics.

You can block or delete cookies in your browser settings, and you can stop Google Analytics recording your visits with Google’s Analytics opt-out browser add-on. The website will still work if you do.

Your rights

You have the right to:

• ask for a copy of the information we hold about you;
• ask us to correct anything that is wrong or incomplete;
• ask us to delete your information, where we no longer need to keep it;
• ask us to limit how we use it, or object to us using it;
• ask for information you gave us to be passed to you or another organisation in a usable format.

There is no charge, and we will reply within one month.
